Agentic quoting in 2026 — what it is and what to demand from it

Agentic quoting means the AI does the work inside the system instead of merely suggesting text: it looks up your own prices, calculates labour, materials and the ROT deduction, builds the quote and prepares it for sending. The difference from an ordinary AI chat is that an agent has tools and can carry out actions — which is also why the most important question is not how clever it is, but what it is allowed to do without asking you first.

Chatbot, copilot or agent?

A chatbot answers questions. A copilot suggests text you paste in yourself. An agent has tools connected to the system and can use them: read your article register, pull the customer’s details, work out the ROT deduction, create quote line items, set up the work order. The difference only shows when something has to happen — a copilot writes a nice quote text and leaves you with the data entry.

The test is simple: ask the tool to raise your hourly rate for strip-out work to SEK 750. A chatbot explains how you do it. An agent does it — and a well-built agent first shows you exactly what it intends to change.

What "agentic" should mean in practice

That the agent reaches your real data. A quote priced from generic industry figures instead of your own rates is a guess in nice packaging. The agent should read your article register, your hourly rates and your markups — and get sharper the more quotes you make.

That it covers the whole chain. A quote is not finished because the document exists: it has to be priced, have ROT calculated with labour and materials kept apart, go out for signing, and become an invoice basis when the customer accepts. An agent that only produces the document has moved the work, not removed it.

That it asks when it is unsure. An agent that guesses at an area it was never given, or sets a price it cannot support, produces a quote you have to check line by line — and then the time saving is gone.

The most important question: what may it do on its own?

A tool that can email customers, change prices and cancel quotes is powerful exactly as long as it never does anything you did not ask for. So demand that every action which changes something is presented as a proposal you approve — not as something that has already happened and which you get to undo afterwards.

The checklist to judge tools with

Does it use my own prices or generic averages? Does it calculate ROT with labour and materials kept apart? Can I change the quote by voice afterwards, or only dictate it? Is every change shown as a proposal before it is carried out? Does an accepted quote become an invoice basis without me rewriting anything? What happens when the job grows — are variations handled in the same case?

Test it on a real job, not an invented one. Describe the last quote you actually sent and compare the result with what you worked out yourself. That tells you more about the accuracy than any demo.

What is the difference between agentic AI and ordinary AI in quoting software?

Ordinary AI generates text or suggestions that you then enter yourself. Agentic AI has tools connected to the system and does the work there: pulls prices, calculates ROT, creates line items, prepares the send. The requirement to insist on is that every action which changes data is first shown as a proposal you approve.

Can the AI send quotes to my customers without my approval?
